Getting your team set up and logged in to Self Service can be the work of a moment. As long as the employee exists on Focus you can generate a login link for them, and then share it as a QR Code, a Text Link, or both.
This guide will look at:
Your team member needs to exist in Focus, and they also need to have:
1. A PIN number. This can be their payroll number if you use numeric payroll numbers, or any other number you like. They must be unique.
2. A Self Service Profile. This tells Focus what access and permissions the team member should have once they access Self Service
* New Employees
* Employees who have forgotten their original credentials*
In the Employee Form in Focus, confirm that the team member meets the requirements for Self Service. Add a Self Service Profile and PIN if required. Then click Create App Login Link.
Click 'Create App Login Link' to generate a new password for the employee, and a scannable QR Code.
If the employee is with you when you generate the code, they can simply scan and go. If not, you can copy the QR Code as an image to the clipboard and then paste it wherever you need it. Use CTRL+V on a PC or CMD+V on a Mac to paste. You can also copy the login as an encrypted text link.
If you have email set up within Focus, you can just click the Send Email button to generate and send an email to the employee. Note that the employee needs to have a unique email address in their contact tab for this to work.
Once you dismiss this popup, you won't be able to access the code again without first generating a new password. This will make the previous link invalid.
Tip: If you're sending the login details to the employee, send both the QR Core Image and the text link. If the recipient opens the message on their mobile phone, they won't be able to scan the QR code. If they open it from a computer, the QR code will be the quickest way to proceed for them.
If the User has the Focus Self Service app already installed on their phone, the code will log them, firstly to your wider Company Account, and then to their new login. The first screen they see will be a request to set a new password. From this point, they can use Self Service as normal, and if they log out, they can log back in manually with the password they have created for themselves.
If the User does not have the Focus Self Service app installed, the code will instead direct them to the listing in the relevant App Store - either the Google Play Store or the Apple App Store. Once the app is installed they can either scan the code again, or open the App and choose 'Scan QR Code' as a login choice.
To be clear: the same code can be used twice in this instance. First to download the app, and then again to login.
Following a successful login, the Employee Record Status will be updated to show when the employee set their password.
Don't be put off by the single 'dot' in the password field. Focus doesn't reveal how long the password is, but it must meet your password requirements and regardless of your policy it must be a minimum of six characters.
Note: You can also use this feature to see the status of all Employees’ passwords, regardless of how you set them up.
Existing employees may already know their login credentials, but may not have access to your Company Code. Although you should only ever have to enter the Company Code once per device, situations can arise where starting again is necessary. For example, if the employee changes phones, or clears the app's saved data from their device.
To access a 'generic' login code that only stores your Company Code, do the following.
Unlike generating a login for a specific Employee, this login link is fixed. You can visit this screen at any time and copy the link for distribution.
